Your New Mexico CMRA

A Commercial Mail Receiving Agency, or CMRA, is a business approved by the United State Postal Service (USPS) to accept mail on behalf of their clients. Once hired, your mail will be delivered to your CMRA, who is then responsible for getting your mail to you.

Hiring a CMRA is a good way to further protect your personal privacy. For example, our clients get a unique suite number that provides a professional address for their business, keeping their personal information off public record. We only ask you to provide the information legally required by the USPS to hire a CMRA. Your privacy is our priority.

What is a Commercial Mail Receiving Agency (CMRA)?

Private businesses interested in offering their clients mail services are required to register with the USPS as a Commercial Mail Receiving Agency (CMRA). Once approved by the USPS, the CMRA is responsible for distributing the mail to their clients.

Hiring a CMRA allows you to rent a private mail box (also called a PMB) and keep your personal address private. However, the USPS also requires you to authorize your CMRA of choice to accept your mail. You must do this by completing and filing a Form 1583.

How do I get a CMRA?

The CMRA you choose needs to be approved by the USPS in order to legally accept your mail, but you must also authorize the CMRA of your choice to accept your mail.

In order to rent a PMB from a CMRA, you are required by the USPS to complete authorization Form 1583. You can download the form for free on the USPS website and there is no filing fee to submit the form. However, the form does need to be notarized before it can be accepted. If you’re completing Form 1583 on your own, you will be responsible for hiring a notary public to notarize your form.

To authorize a CMRA to accept your mail, complete and submit a Form 1583 to the USPS. While this might seem like an extra and unnecessary step, this filing helps protect you, your business, and the CMRA.

By requiring both CMRAs and their clients to register, the USPS is better able to ensure the security of the mail system and, most importantly, prevent fraud. So while an additional form may seem a little tedious, it helps add a layer of protection over your personal privacy.

What do I need for my Form 1583?

Form 1583 acts as a way to verify your identity and confirm that you are the one authorizing the CMRA to accept mail on your behalf–not someone else. While the form does require personal information, it will never be entered into public record.

To complete Form 1583 you will need to provide:

  • Name
  • Residential address (PO boxes do not count)
  • Acceptable photo ID (acceptable forms listed below)
  • Acceptable proof of address (acceptable forms listed below)

What forms of I.D. can I use for Form 1583?

The USPS selects several different forms of ID and proof of address. In order for your 1583 to be accepted, you will need to provide one of each of the following:

Primary or Photo ID

  • U.S. State/Territory/Tribal Drivers or Non-Drivers ID Card
  • U.S. Passport
  • Foreign Passport
  • Matricula Consular
  • NEXUS card
  • U.S. Access Card
  • DOD Common Access Card
  • PIV Card
  • U.S. Certificate of Citizenship or Naturalization
  • U.S. Permanent Resident Card
  • U.S. Uniformed Service ID Card
  • U.S. University Card

Proof of Address

  • Lease
  • Mortgage
  • Deed of trust
  • Voter or vehicle registration card
  • Home or vehicle insurance policy

When you have your form notarized, you will need to bring both an acceptable form of I.D. and a valid proof of address.

Keep in mind there are certain forms of ID that the USPS does not accept. If you provide any of the following identification, your application will be rejected:

  • Social security cards
  • Credit cards
  • Birth certificates
  • Concealed carry permit

How do I get my USPS Form 1583 notarized?

USPS requires all submitted Form 1583s be notarized by a notary public. The USPS does not notarize this form, so you will need to find a notary public on your own.

There are several different places where you can find a notary to notarize your Form 1583. You can use a notary directory, like the American Society of Notaries, to find a notary in your area.

There are plenty of public and private institutions that offer notary services, too. Libraries, government offices, banks, and law firms commonly notarize document for hire.

If you do decide to pursue notarization through any of these institutions, we highly recommend you call ahead of time to confirm that the service is available, that the notary will notarize USPS form 1583, and how much their service costs.

Do I need a real, physical street address for my business?

While you don’t necessarily need to rent or buy a different physical location for your business, separating your personal life from your professional not only builds credibility with your clients, but also acts as an added layer of privacy protection.

New Mexico CMRA Mail Services

Once you’ve authorized us as your CMRA, we are authorized to open mail on your behalf, scan your documents, and upload it to our secure server. You can also opt to have your mail physically forwarded to you.

You’ll have 24/7 access to all of your scanned documents inside your client account, and can view, manage and print your mail when you need to.

We can forward individual pieces of mail as requested. If we receive a piece of mail you would like physically forwarded to you (like a check or legal document), all you need to do is use our simple “click-to-request” system inside your client account.

It’s important to note that we store original documents for 50 calendar days. So, if you need to request a physical forwarding, you’ll want to make sure you do it in the 50 day time span. All you have to do is pay the $9 handling fee for letters ($12 for packages) and the shipping costs.

Does my Form 1583 Need to Be Notarized?

Your Form 1583 will only be accepted by the USPS if it’s notarized. Some CMRAs (like us!) take care of the notary process for you. When you hire us, we save you the trouble of having to hire a notary on your own. All you have to do is provide the required information, identification, and proof of address.

I’m submitting a 1583 for my business. Do I have to use my own ID?

The USPS requires the signature, authorization, and identification of an officer in the company. It doesn’t have to be you, but it does need to be another office or member or your business.

Don’t worry about the personal information you include on your 1583 being available to the public.The information your submit on your form will be kept confidential by the USPS.

Can a Non-U.S. Address Be Used on 1583?

A non-U.S. resident can hire a CMRA, and a non-U.S. residential address is acceptable on your Form 1583. You’ll just need to provide an acceptable form of identification (listed above).
